Why offboarding breaks
Every employee departure sets off a chain of tasks across HR, IT, finance, facilities, and the employee’s manager. In most organizations that chain still runs on email, spreadsheets, and memory. It works when you have a few exits a year. It breaks when you have a few a month.
The failures are predictable. An account stays active after the last day. A laptop never comes back. A signed separation agreement sits in someone’s inbox instead of the personnel file. None of these are dramatic on their own, but each one is a security, cost, or compliance exposure.
If your organization already runs on Microsoft 365 and Dynamics 365, you have most of what you need to fix this. The missing pieces are a single HR workflow that drives every department, and a way to handle the paperwork that offboarding still generates. That is where Hubdrive and INDICIUM come in.
One separation record, every department
Hubdrive is an HR platform built on Microsoft Dynamics 365 and Dataverse. Instead of HR emailing five teams, the departure starts as one record: employee, role, manager, location, and last working day. That record drives the rest.
From it, the workflow assigns each team its own tasks with owners and due dates:
- HR: separation documentation, exit interview, benefits and final-pay coordination
- IT: account and application access review, device recovery
- Finance: final payroll and outstanding expense settlement
- Facilities/security: badges, keys, and physical access
- Manager: approvals and knowledge transfer on active work
The task list adapts to the person leaving. A remote employee gets an equipment shipping step. Someone with admin rights or access to financial systems gets an extra access review. A senior leader gets an additional approval. Because it all lives in Dynamics 365, HR sees every open departure, overdue task, and pending asset in one view, and the tasks show up where people already work in Microsoft 365.
The paperwork problem most automation ignores
Workflow tools manage tasks well. But offboarding is still document-heavy, and those documents rarely arrive neatly. A resignation letter comes by email. A signed separation agreement comes back as a scan. Asset-return receipts, expense reports, and benefits forms show up by fax, upload, or mail.
This is where BizTech’s INDICIUM platform, built on Tungsten TotalAgility, fills the gap. INDICIUM acts as a digital mailroom for HR:
- Capture documents from email, scanners, fax, and uploads
- Classify and extract the key data, such as employee name, document type, and dates, using AI
- Route each document to the right offboarding case in Hubdrive, so tasks close when the paperwork arrives
- Retain the final records in INDICIUM ECM under your retention policies, with a clear audit trail
The result is a complete separation file for every employee, assembled automatically rather than chased down after the fact.
Closing the security gap
The riskiest part of any exit is access that outlives employment. When the separation record lives in Dataverse, it can drive the IT side directly. Power Automate can turn the last working day into scheduled account disablement in Microsoft Entra ID, removal from Teams and SharePoint groups, mailbox handling, and license reclamation.
Sensitive systems can require an approval step before access is removed. Every request, approval, and completion is timestamped. IT stops receiving offboarding requests through five different channels, and security gets a record showing exactly when access ended.
Reclaimed licenses matter too. In a Microsoft 365 environment, an inactive account that keeps its license is a recurring cost, not just a security risk.
Compliance without the scramble
US employers face several obligations at separation. Final-paycheck timing rules vary by state. Departing employees may need benefits continuation notices. Personnel and payroll records must be kept for set periods. A standardized workflow with a document trail makes these obligations repeatable instead of dependent on who happens to handle the exit. Automation does not replace your policies or legal counsel, but it helps you follow them consistently.
Keep the human part human
Automation should handle the checklist so HR can handle the conversation. Exit interviews, knowledge transfer, and a respectful send-off still need people. A clean process just gives HR the time to do them well, and it leaves the departing employee with a better final impression of your organization.
Where to start
- Map your current offboarding steps and owners, including the informal ones.
- Identify where delays and misses happen, especially access removal and asset recovery.
- List the documents involved and where they arrive today.
- Decide which steps should trigger automatically and which need approval.
